Certain products may pose difficult to send to different parts of the country – in these circumstances alternative choices will be offered. Send a Surprise reserves the right (without prior notice) to discontinue or change specifications of products and services offered on this site without incurring any obligations to the sender of the gift.
Other products
- Send a Surprise is a bespoke gift delivery and florist service and we only use the best available in ribbon, gift boxes, cake boxes and gift bags made exclusively for us by our factories or suppliers. Therefore you have to take packaging, tissue paper and ribbon costs into account and not just consider the content as your total budget spent – we sell the total package, not just the content.
- We will endeavor to fulfill any reasonable request.
- Our products are made up by hand and stock varies continuously so we cannot offer the same product or packaging at all times as displayed on the website. We will however endeavor to stick to the specifications offered as closely as possible.
- If a product is sold out at the same time you have placed your order, we have the right to replace the product with a similar product at the same cost. If we do not have a similar product available immediately, we will email you with alternatives
- Please review the terms and conditions below as your use of this site indicates your acceptance of these terms and conditions and your agreement to follow and be bound by them. Please note that we may have to periodically change the terms and conditions so kindly check them from time to time if you continue to use our services.

- Send a Surprise is open from 8:30am – 5:00pm every Monday – Friday
- We are not open on public holidays or weekends.
Delivery times
As much as we would like to it is impossible for Send a Surprise to guarantee ANY delivery times. We follow a route and do not return to the same part of the city more than once daily. It is therefore advisable to place your order as soon as possible so that we can plan our deliveries with yours in mind. The delivery of orders commences at 09h00 in the morning until end of workday 16h30.
We cannot be held responsible for any deliveries which are delayed if your gift is couriered. Where we are reliant on 3rd party service providers we may not always reach your timelines but will endeavor to do so to the best of our abilities.
Running late
Should our driver be delayed due to circumstances beyond our control Send a Surprise reserves the right to contact the gift recipient (without revealing specific details and spoiling the surprise) to announce that they have a delivery and to enquire as to where the recipient will be at the expected delivery time. Should the delay be as a result of our own time management or unforeseen circumstances we will divert the delivery at our own cost. We cannot be held responsible for any deliveries which are delayed if your gift is couriered.
What happens if recipient is not at address?
Should the gift recipient have left the office early (or did not go into the office at all) on the day of delivery or should the gift recipient not be at the home/delivery address given to us Send a Surprise cannot be held responsible.
We will contact the recipient and (without spoiling the surprise) arrange a suitable time for redelivery.
Redelivery costs will be for the senders account.
To avoid additional charges it may be worth notifying the recipient that a gift is on its way.
In the event where we are requested to deliver to a company we need to adhere to the company rules relating to delivery, for example, we may be requested to leave the parcel at reception or the mail room and may not have the opportunity to deliver your gift to the recipient personally. In this case we cannot take responsibility for company policies or the fact that the gift did not reach the recipient timeously.
Please note that a confirmation of delivery is sent to all clients at the end of the day. You are however welcome to contact us at any time via email to confirm if the delivery has been concluded.
Deliveries to Schools / Universities
Deliveries to Schools / Universities – Teachers & other staff
Please note that when delivering to schools the teachers are usually in their classroom and our driver leaves the flowers or gift at reception for them.
The schools do not allow staff members to be called out of class to sign for deliveries personally and it is up to the school administrative staff to then ensure they receive the gift.
We cannot take responsibility for any flowers or gifts once they have been signed for by a member of staff.
We suggest alerting your recipient to the fact that something will be delivered for them so that they know to check in at reception to collect it.
We do not accept deliveries to University Campuses due to their sheer size and the time needed/level of difficulty for our driver to locate the recipient.
Deliveries to Schools / Universities – Students
We are not able to deliver to children in schools or students on University Campuses or in halls of residence.
Deliveries to Hospitals
Deliveries to Hospitals – Patients
We are only able to deliver gifts and flowers to hospitals located in Cape Town. Gifts cannot be sent via courier anywhere else in South Africa.
Patients in ICU or High Care are NOT ALLOWED to receive gifts via delivery service per hospital policy. Please check that the recipient is in a general ward before placing your order.
We cannot accept an order without a ward number.
Please note that in order to deliver to patients in hospitals we need to know which ward they are in (please supply a bed number if possible) or security will not permit our driver to make delivery.
We cannot take responsibility for any flowers or gifts once they have been signed for by a member of staff.
Deliveries to Hospitals – Doctors & other staff
We can only deliver to hospital staff if the staff member works in a consulting room. Hospital receptions will not sign for gifts for staff members who do not have a fixed office located with the hospital.

At Send a Surprise, we’ve got your back when it comes to delivering to businesses. We know that each business has its unique protocol for receiving packages, and we’re here to make the process as smooth as possible. Here’s what you need to know:
- Finding Its Way: When your delightful package arrives at the business premises, it will usually make its way to either the security department for screening or the reception area.
- Secret Code: Once the courier company arrives with the package, the courier will need to enter a corresponding pin. Don’t worry, we’ve got it all covered! We’ll send this pin directly to the recipient’s phone, ensuring a secure delivery.
- Safety First: Our top priority is the secure delivery of your surprise. If the recipient is not available to receive the package, the courier may send the pin again to the person who will be responsible for accepting it. We want to make sure your surprise reaches its intended destination!
- Internal Handoff: Here’s where things get interesting. Once the package is in the hands of the person who accepted the delivery, it’s up to them and the recipient to handle the internal handoff. We don’t have insight into the unique operating procedures of each company, so it becomes their responsibility to pass on the surprise internally.
Please note: We rely on the cooperation of the person accepting the package and the recipient to ensure a successful handover within the company.

Incorrect or incomplete address details
Should you provide incorrect or incomplete address or telephonic details which prevents us from delivering the gift on the specified day we will not be able to proceed with the delivery. Please ensure that the address details provided are correct. Our job is to deliver the gift, yours is to provide us with the correct delivery details to make this possible. Should the address be discovered to be incorrect when the driver is busy with the delivery and neither the gift recipient nor the sender is immediately available via telephone, the gift will be returned to the office and another delivery fee will be payable before the gift is again delivered the next day.
Orders
If we are unable to supply any item ordered we will contact you immediately to seek alternatives and/or conclude whether the balance of items ordered should be delivered and/or the additional items be ordered for you for later delivery. You may seek a refund of out of stock items.
The website provides actual examples of what we sell and may not always constitute the exact colors/style/type or packaging material. Send a Surprize reserves the right to alter packaging and colors at their discretion as long as the value remains the same as that which was ordered. Should specific flower colors be requested, such requests should be made at least 24 hours in advance.
Order cancellation
Please note that you are entitled to cancel your order for a gift delivery provided that it is done 24 hours before delivery unless the gift was personally sourced or customized for you.
No cancellations can be accepted on the day of delivery.
No cancellations can be accepted for special celebration days (Valentine’s Day, Mother’s Day, Secretary’s Day, Father’s Day etc.) unless made at least 7 days in advance.
A full refund will be provided if payment has already been made, less a 10% admin fee.
Payment options
Send a Surprise is authorized to debit the amount payable by you for any products ordered against your VISA, DINERS or MASTER cards through a safe payment gateway called PayFast (www.payfast.co.za). In this instance we do NOT see your credit card details and monies are paid over to us once it has been determined that the payment is from a legitimate source.
EFT payment can be made through Payfast. Payment can be made via SnapScan
Refund policy
Should Send a Surprise need to refund you for an order please note that the refund will only be processed after funds appear in our bank account. This process may take up to 7 working days.
Send a Surprise takes great care in packing and delivering our gifts of which all are fragile in nature. We only use 3rd party couriers for areas that we cannot deliver to ourselves outside of the greater Cape Town area. Should a gift be received by you or your gift recipient in a broken or unacceptable condition please contact us immediately on 082 336 9948 or hello@sendasurprise.co.za with a photograph of the gift to verify how this may have happened.

Privacy policy
We recognize your need for appropriate protection and the careful management of the personal information you share with us (any information by which you can be identified, such as name, address, and telephone number).
In general, you can visit this shopping site without telling us who you are or revealing any personal information about yourself. Your information will never be disclosed to third parties. You may choose to not sign your gift card and remain anonymous during checkout but you should be aware that if the recipient contacts us to find out who sent them an anonymous gift we will first alert you and ask you to reveal yourself but if you choose not to and they contact us again we will tell them who sent them the gift.
Your submitted details will only be used by us to enhance your online shopping experience. The only use of your information would be to send you our monthly newsletter packed with special offers, gifting ideas and other happy news – if you have opted to receive it. The only other information we will ever disclose to third parties is aggregate information about our users. Aggregate information will never identify you. It only identifies the user population in general terms, i.e. 52% male. The aggregate information would be made available only to our advertisers and partners.
Furthermore, we guarantee the security of your payment and contact details you submit to our shopping basket. When you decide to make a purchase with us, the details you submit will only be used to fulfill your order.
You should be aware that if we are requested by the police or any other regulatory or government authority investigating suspected illegal activities to provide your personal information we are entitled do so.
Pricing policy
You will be charged the prices as they are reflected on the products at point of sale – subject to availability. A delivery fee will be charged for each order placed by you and will be calculated at completion of your order stipulated prior to checkout. These delivery fees are subject to fluctuations in petrol costs and subsequent increases in courier fees over which we have no control.

You expressly agree that use of the site is entirely at your own risk. These Terms and Conditions (“the Terms and Conditions”) govern your (“the User”) use of the Send a Surprise (“Provider”) website located at the domain name www.sendasurprise.co.za (“the Website”). By accessing and using the Website, the User agrees to be bound by the Terms and Conditions set out in this legal notice. The User may not access, display, use, download, and/or otherwise copy or distribute Content obtained on the website for marketing and other purposes without the consent of the Provider.

By using this Website or communicating with the Provider by electronic means, the user consents and acknowledges that any and all agreements, notices, disclosures, or any other communication satisfies any legal requirement, including but not limited to the requirement that such communications should be in writing.
E-commerce and privacy
The Website www.sendasurprise.co.za sells Gift Items online. The use of any product or service bought from this Website is at the purchaser’s risk. The purchaser/ user indemnifies and holds the Provider harmless against any loss, injury or damages which may be sustained as a result of using the products sold on the Website.
The private information required for executing the orders placed through the e-commerce facility, namely the User’s personal information and credit card details, delivery address and telephone numbers will be kept in the strictest confidence by the Provider and not sold or made known to third parties. Only the necessary information, that is the delivery address and contact phone number will be made known to third parties delivering the product. Credit card details are not kept by the Provider under any circumstances.
The Provider cannot be held responsible for security breaches occurring on the User’s electronic device (Personal Computer or other electronic device used to browse the Website), which may result due to the lack of adequate virus protection software or spyware that the User may inadvertently have installed on his/her device.
The Provider will supply all goods to the delivery company in good order. The Provider will not be held liable for the condition of goods arriving at the User’s chosen delivery address.
Online payment – Payfast payment gateway
All online credit card payments are processed by the PayFast Internet Payment Gateway. Card Holders may go to www.payfast.co.za to view their security policy.
Delivery policy
Should any of the following situations arise: incorrect delivery address received from customer or no one is available to receive your gift, the driver will contact the office who will endeavor to contact you and/or the gift recipient. If the delivery is at a business, a receptionist or a suitable member of the organization will sign on the recipient’s behalf. If we manage to contact close neighbors within a residential areas, the same will apply. We will then notify the recipient where the gift was left. If we are unsuccessful in the abovementioned, the gift will be returned to the office. We will then email you to arrange a re-scheduled delivery. An additional deliver fee will have to be paid before a 2nd attempt to delivery will be made.
Refund and return policy
The provision of goods and services are subject to availability. In cases of unavailability, the provider will refund the client in full within 7 days. Cancellation of orders by the client will attract a 10% charge for administration costs.
The Provider reserves the right to cancel an order for which payment has already been received. This may occur if stock is insufficient or the quality of goods ordered does not meet the Provider’s standards. Should the Provider exercise this right, the User will receive a full refund with no deductions.
Any complaints regarding the standard and quality of the product or products bought by consumers through the e-commerce facility should be directed to hello@sendasurprise.co.za.
Updating of these terms and conditions
Provider reserves the rights to change, modify, add or remove from portions or the whole of these Terms and Conditions from time to time. Changes to these Terms and Conditions will become effective upon such changes being posted to this Website. It is the User’s obligation to periodically check these Terms and Conditions at the Website for changes or updates. The User’s continued use of this Website following the posting of changes or updates will be considered notice of the User’s acceptance to abide by and be bound by these Terms and Conditions, including such changes or updates.
